Introduction
The National Empowerment Fund is looking for an Administrator to join the iMbewu Fund team on a fixed-term period. The purpose of this role is to perform administrative and office support activities for multiple supervisors and the section, ensuring the rest of the staff has adequate support to work efficiently.
Job description

Departmental Reports
 
Generate weekly, monthly, quarterly and year-end departmental reports.
Example of reports:
  • Performance reports for Strategy and Planning Department.
  • DE’s quarterly reports.
  • CRM weekly Pipeline reports.
  • Weekly Excel report on deals approved and disbursed.
Administration
  • Handling queries (telephonically and walk in).
  • Managing Fund Manager diary and appointments.
  • Management of the stationery budget.
  • Ordering, distribution and management of stationery.
  • Follow ups from CEO’s office, DE’s office and occasionally from the Minister’s office.
  • Maintain database for queries.
  • Interface with other departments and stakeholders.
Minutes Taking
  • Organise departmental meetings and take minutes.
  • Ensure that all materials pertaining to the departmental meetings are prepared and made available to staff and the Fund Manager on time before the meeting.
  • Other ad hoc tasks that the PA may from time to time be requested to perform.
Requisitions
  • Process requisitions within 24 hours from the time the request is received.
  • Ensure that requisitions are within budget and comply with NEF policies and procedures.
Travel Arrangements
  • Arrange travel within reasonable time to ensure all necessary bookings are confirmed at least three days prior to the date of departure.
Secretarial duties
  • Email system prioritizing emails received.
  • Typing and formatting of documents.
  • Screening of telephone calls and responding where necessary.
  • Plan activities in the office of the Fund Manager.
  • Managing Fund Manager’s electronic diary and scheduling meetings.
  • Receiving and screening of incoming mail (postal).

Minimum requirements

Qualifications
  • Matric
  • Relevant post matric secretarial and office administration qualification
Experience / Skills Required
  • 3 years of Secretarial experience
  • In depth knowledge of PowerPoint, Ms Word, Excel and Outlook
